Rental Terms
All vehicle rentals are governed by a comprehensive Rental Agreement presented during booking confirmation or at the time of vehicle collection. This document outlines specific terms, conditions, insurance information, fees, and your obligations related to the rental. In case of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Renting a vehicle requires:
- To hire a vehicle from Car Hire in York, drivers must be at least 21 years old, although age limits may vary based on the vehicle type. A valid full driving licence, appropriate for the vehicle category, is required, along with identification and proof of current address. Valid payment information and a security deposit must also be provided, along with any additional requirements outlined in the Rental Agreement.
Booking and Payment Process
- Reservations can be made via our website, by telephone, or directly at our York office. A deposit may be necessary to confirm your booking. The total payment and security deposit are generally collected at the time of vehicle pickup. All prices are listed in British Pounds (£) and include VAT where applicable. We accept major credit and debit cards, with transactions processed securely through trusted payment providers.
Vehicle Pickup and Drop-off
- At the time of vehicle collection, it is essential to conduct a thorough inspection and report any pre-existing damage without delay. A vehicle condition report will be prepared and signed to document the state of the car. The vehicle must be returned in the same condition it was collected, allowing only for normal wear and tear. Any new damage will be evaluated and charged as necessary. Please return the vehicle with the same fuel level as when it was picked up; otherwise, refueling charges will apply. If you anticipate returning the vehicle late, contact us promptly, as late returns may incur additional fees. You will be held responsible for any parking tickets, traffic violations, or other charges incurred during the rental period, along with an associated administration fee.
Insurance and Liability Policies
- All rentals come with basic third-party insurance included. Details about coverage and excess amounts can be found in the Rental Agreement. You may have the option to purchase additional insurance to lower your financial responsibility. It is advisable to review these options thoroughly. You remain liable for any damage or loss up to the insurance excess, except when additional insurance is purchased. Damage resulting from negligence, misuse, or violation of these Terms will remain your responsibility, regardless of any insurance coverage.
6. Modifications and Cancellations
Cancellation and amendment policies differ based on the type of booking and the notice given. For precise information, please consult your booking confirmation or Rental Agreement. Be aware that late cancellations or failure to show may incur charges.
Prohibited Activities
Prohibited Vehicle Uses
- The vehicle must not be used for any illegal activities. This includes racing, rallying, off-roading, or engaging in any dangerous driving practices. Transporting hazardous materials is prohibited. The vehicle should not be sub-let or operated by unauthorized drivers. Driving under the influence of alcohol or drugs is strictly forbidden. Additionally, using the vehicle for purposes it was not intended for or exceeding weight and passenger limits is not allowed. Driving outside designated geographical areas without prior approval is also prohibited.
Breach of these terms may lead to rental cancellation and extra fees.
Liability Limitations
To the fullest extent allowed by English and Welsh law, Car Hire York is not responsible for any indirect, incidental, special, or consequential damages, including loss of profits, data, or business, that may result from your use of our services. Our total liability for any claim will not exceed the amount paid for the rental in the previous 12 months. This limitation does not apply to liability for death or personal injury due to negligence or fraud.

These Terms are governed by the laws of England and Wales. Disputes will fall under the exclusive jurisdiction of the courts in this region.
10. Terms Updates
We reserve the right to amend these Terms at any time. Changes take effect immediately once posted on our website. Continued use of our services indicates your acceptance of the revised Terms.
